The Board will consider requests of interested adults who wish to organize, and be recognized, as a booster club to some specific aspect of the district program. It is to be understood that the objectives and scheduled activities of booster clubs must be intended to support the district in keeping with district principles, goals and objectives. The Board encourages the administration and staff to support the activities of such groups; whereas, the groups' roles are to be supportive to that of the administration, and not to determine the nature of the school programs, or their organization within the school.
The leadership, or officers if named, of each recognized club is to channel and coordinate their planning through the Principal, as appropriate to the building level. Designees, such as the Athletic Director, and coaches, and band director, will prepare a list of possible needs or recommendations to assist the club leaders. The Building Principal will review this list.
Coordination of planning shall include, but not limited to, a review of meeting dates and agendas; information about the proposed use of funds (trips to competitions, banquets, camps, etc.) before the September Board meeting; and the fund raising activities to raise the funds. The Building Principal shall be advised of these plans.
Booster club activities may include, but not be limited to: sponsoring awards banquets; offering service or special recognition awards and scholarship awards; assisting in fund raising activities; offering general support to the specific school program or district-approved pupil extra-curricular activities.
Financial statements must be filed with the School Business Administrator/Board Secretary no later than September 30 of each year. These financial statements shall be for the twelve-month period July 1 to June 30 of the prior school year. He/she shall assist the group in the development of fiscal practices.
The Board directs that the administration be apprised of each of the club's planned activities. It reserves the determination, in its discretion, and/or upon recommendation of the Superintendent, to request a club to cancel, or decrease the scope of a planned activity, that it believes is outside the scope of practical application. This is a contingency plan for meeting concerns that may arise at a date after the initial plans were made before September.
The school facilities are to be made available to recognized booster clubs, on request, at no charge in accordance with Policy 7510 Use of School Facilities. Any proposed purchase of equipment must be analyzed and approved in the same manner by which the School Business Administrator/Board Secretary processes district-purchased equipment.
All approved trips shall be chaperoned and must be under the supervision of a professional staff member. Trip expenses of parent chaperones and staff shall not be at the expense of the Board. The Board accepts no responsibility for the payment of bills or debts incurred by the booster clubs.
All booster club concessions sold at athletic events will be scheduled through the Athletic Director.
